Sending and tracking digital waivers

Create a waiver

1. Go to Communications › Waivers and open Templates.
2. Click New template.
3. Give it a name and write the waiver text. You can add fields such as text, initials, a date or a checkbox, and mark them required. You can also upload a PDF form and place the fields on it.
4. Click Create template.
5. To make it the waiver every family signs in their portal, click Set as default.

How families get it

1. The default waiver shows up for families to sign in their portal, under Documents › Waivers.
2. The new-family setup link (sent when you add a membership) asks them to sign the waiver.
3. To ask for a specific waiver, go to Waivers › Signature requests and click Assign waiver. Pick the guardian and template. The waiver link goes to their email, or choose Sign on this device to sign at the desk. You can also copy the link.
4. To send one waiver to many families, use Bulk send.

Track signatures

1. Signature requests lists waivers waiting to be signed. Filter by Pending, Signed or All.
2. The main Waivers page lists every signed waiver with its version. Filter to the current version only.

Update a waiver

When you save a real change to the waiver text or its required fields, a new version is created. Everyone who signed an older version is flagged to sign again. Small formatting edits don't create a new version.

Renewals

If a signed waiver has an expiry date, families are emailed reminders 30 days and 7 days before it expires, and again when it expires (unless your school has turned those emails off). An expired waiver needs signing again.

What's kept

Each signed waiver keeps the text as it was when it was signed, the signature, and the signer's details, including their IP address. Use View PDF to open one, or Download zip on the Waivers page to download them in bulk.
