Migrating from Zen Planner

What comes across

• Members and family links.
• Active memberships.
• Current ranks.
• Prospects, which you can import as leads.

Payment history stays in Zen Planner. Card numbers cannot be exported, so families add their card again.

Step 1: set up the basics

1. Build your rank ladder in Admin › Settings › Ranks & progression.
2. Create your programs in Admin › Settings › Programs, matching what Zen Planner calls them.

Step 2: export from Zen Planner

1. Sign in to Zen Planner as a studio admin.
2. Open People and export the full client list with every column.
3. If the download is an Excel file, open it and save it as CSV.
4. For plans and belts, export the membership and belt reports too.

You do not need to edit the People export. Parents and children on separate rows are linked by Family ID.

Step 3: import

1. Go to Admin › Setup and open Import your existing roster.
2. Under Where are you coming from?, pick Zen Planner and upload your files.
3. Import Students & families, then Memberships, then Belts & ranks. Every import shows a preview before anything is saved.

Step 4: connect billing and re-collect cards

1. Connect Stripe when the wizard asks.
2. On Re-collect cards, send every family a secure link to add their card.

Imported memberships stay pending, with no charge, until each parent adds a card. Then billing starts on the first charge date you set. Families who have not added a card get reminder emails with a fresh link after about 3 and 7 days, and after 14 days the membership is flagged for your staff.

Step 5: switch over

1. Turn off billing in Zen Planner before your first QuickKicks charge date, so nobody pays twice.
2. Watch Money › Billing in your first month for anything past due.
3. Keep your Zen Planner account for a while as a read-only archive.
